The Office of Student Activities provides assistance to student organizations and student government for events and trips.

Events

Approval Procedures for On-Campus and Off-Campus Events

  1. All on- and off-campus events sponsored by an undergraduate, graduate, or media student organization which receives student activities funds, must obtain final approval from the Office of Student Activities (Room C001 North), or when necessary the Dean of Students Office (Room 1103 East).
  2. When the event has received all the required signatures along with final written approval, all necessary paperwork must be filed with Ms. Latysha McKenzie in the Office of Student Activities.
  3. A final draft copy of an approved flyer advertising each event and a reservation confirmation must be included with the paperwork for final approval.

SEIF (Student Event Information Form)
The Office of Student Activities is rolling out a new printable SEIF form for on-campus events.  You can type your event information and print the form for the following spaces:

  • Central Reservations (Room 711 West): Reserve space for meetings, events, conferences, etc.
  • Student Resource Center (Room 304 North): Reserve Spaces TH105, TH113
  • Black Box Reservation (Room 543 North): Contact Peter Jackson at peter.jackson@hunter.cuny.edu
  • For Departmental Spaces, clubs must contact the department directly.

Sanction Points
Recognized student organizations and publications have a responsibility to obey rules, policies and laws set forth by your student government/media board and administration. Violation of rules, policies and laws put your organization/publication and students at risk. Point values will be assigned for event/trip and fundraising procedure violations.

SEIF/Off-Campus Trip Student List Request
Approved event forms and event documents are available for pick up in OSA(Room C001 North). If you have lost a form or require additional copies, you may request a replacement copy of an SEIF, Off-Campus trip student list, 501c3, etc. Please complete the request form and allow at least 3 business days for processing.

Trips

Approval Procedure for Off-Campus Trips

The following guidelines for domestic travel are for currently enrolled undergraduate or graduate students participating in sponsored trips.

Student organization officers, members, etc. are not authorized to sign outside contracts, agreements, etc., with vendors, contractors, or venues.

“Domestic travel” is classified as any activity or event leaving CUNY property but within the 50 states of the United States including trips to museums, field trips, leadership retreats and conferences.

A “sponsored trip” is any event or activity that takes place off campus with the purpose of extending and supplementing learning opportunities in a way not possible within the usual College setting that is organized, supported, or financed by an office, department, division, or a student organization of the college and that is funded by student activity fees or monies that are in the control of the College, the University, or a University/College¬≠ related entity, such as auxiliary enterprise corporations, a college association, or a student services corporation.

There are no exceptions to these rules!

Day Trips within the Five Boroughs

Two weeks before your trip:

  • Complete the Off-Campus Trip Form.
  • Attach Flyer or Itinerary to form
  • Attach Spreadsheet for (Inside 5 Boroughs)* to form
  • Within 5 Boroughs Spreadsheet – A completed spreadsheet with all eligible students should be uploaded onto the off-campus form.

High-Risk and Overnight Trips within the Five Boroughs

Four weeks before your overnight trip:

  • Hunter College does not permit international travel for student groups.
  • High risk local trips will require waivers and emergency contact info.
  • All students who will or may attend the trip must be on the list and sign waivers. This includes waitlisted students
